The RCA makes every effort to keep the content on this website timely and correct. It is for general information and use only, and it is subject to change without notice. The RCA accepts no responsibility for loss or damage that occurs as a result of using this website and the information provided on it.
This website may contain links to external websites that are provided for your convenience to provide further information. They do not signify that the RCA endorses these websites, and we have no responsibility for their content.
All materials on this website, including the design, text and images, are copyrighted by or licensed to the RCA. Reproduction is prohibited without prior written consent.
This privacy notice tells you what to expect when the RCA (“the RCA” or “we”) collects personal information or processes information that you give us by filling in forms, either on our website or in person, or when you correspond with us by phone, e-mail or otherwise.
This includes information you provide when you:
- buy a ticket to an exhibition
- subscribe to our mailing list
- register for an Art Pass
- buy a work of art
- hire one of our rooms or galleries
- book tickets for an event, course or workshop
- donate or provide sponsorship to us, or meet to discuss potential support you may give
- when you report a problem with our website or register a complaint
- register lost property or complete a comment card
- enter a competition
- sign up as a volunteer or apply for a job
What information do we collect about you?
The personal data we collect about you may vary depending on the service you request from us. As a minimum we will usually collect from you:
your name; and
your email address;
When you book tickets for any of our events, courses or workshop or buy a product from the RWA shop, we may collect your name and email address so that we can contact you in case of changes to the programme or product. We may also email you with information about future similar events that may be of interest to you.
From time to time, depending on the service you require, we may also request the following and use this information in the following ways:-
Postal Address
If you buy a ticket to an exhibition and agree to make a Gift Aid donation, we ask for your Postal Address for claiming Gift Aid.
We may use some of the data in your address for the purposes of researching where our audience comes from, to inform our marketing or to report to funders on our audience. This data will be anonymized and will not be used to send marketing communications to you.
If you donate to or become a Patron of the RCA, we will also ask for your postal address for the purposes of administering any Gift Aid contributions you elect to provide. We may use this information to send you details of how your gift makes a difference and to let you know about future opportunities to support the RWA.
Telephone number
When you book tickets for any of our events, courses or workshops we may collect your telephone number so that we can contact you in case of changes to the programme.
Payment Details
When you make a payment to the RWA, we will collect payment information from you such as credit or debit card details or bank information for the purposes of taking payment.
Mailing List
If you sign up to the RWA Mailing List, we will collect your email address and send you weekly information about events, news and opportunities to support the RWA. If you supply us with details about your interests we may use this information to send you tailored information relevant to these preferences. Unless you withdraw your consent, we’ll keep a record of previous communications and other relevant details in order to optimise the services we recommend to you in the future.
Art Pass
We will use your personal data for the purposes of processing your Art Pass application and for administering the scheme, for example to monitor usage. We may use your email address to remind you to renew your card.
We may also use your personal information for internal analysis of our Art Pass holders, customer surveys and to provide the RWA with audience insights, in order to improve our offering to our customers. Data used for this purpose is anonymised and your personal details will not be visible in any resulting reports or analysis.
Other Information we collect
If you correspond with us generally, for example to raise a query, comment or complaint about any of our services, we will also collect any other information you choose to send to us in that correspondence.
When using our website, we may also collect some technical (not personal) information about how you use our sites, for example the type of device you are using, your operating system, IP address, the web address you arrived at our site from, and length of visit.
How do we use the information you provide?
Where you have disclosed your information to us, we use information:
because it is necessary to administer the services you have requested from us from time to time and fulfil our obligations to you in providing these services; or
in order to pursue the RWA’s legitimate interests in raising funds or to inform you by email or other means of similar events or services run by us which we think may interest you. Where we process your personal data on this basis, we will only do so where it does not prejudice your own privacy rights.
We may also collect your information to compile an attendance list.
CCTV
We use CCTV to record images in our gallery and areas used by members of the public and tenants, for the purposes of public safety and the prevention and detection of crime. CCTV images will not be released to the media for entertainment purposes or placed on the internet. You have the right to see CCTV images of yourself and be provided with a copy, but we can only disclose CCTV images of third parties for the prevention and detection of crime.
Job applicants and volunteers
If you apply to work at or volunteer with the RWA, we will use the information you supply to us to process your application and to monitor recruitment statistics. We may disclose personal information to a third party, for example where we want to take up a reference or obtain a check from the Disclosure and Barring Service, and where appropriate we will let you know first.
We send regular emails to volunteers regarding rotas and volunteer shifts.
Your rights
You have a number of rights in relation to your personal data. These include the right to:
- find out how we process your personal data;
- request that your personal data is corrected if you believe it is incorrect or inaccurate;
- obtain restriction on our, or object to, processing of your personal data;
- ask us not to process your personal data for our own marketing purposes;
- withdraw your consent to our processing of your personal data; and
- obtain a copy of your personal information which we hold about you. We will take steps to verify your identity before responding to your request and will respond as soon as possible

Disclosure of your information
The personal data you give the RWA is held securely and will never be passed on to third parties. We may outsource functions, such as the use of marketing apps including Eventbrite and the RWA Shop using Shopify and those third party processors will be responsible for the safe and confidential processing of personal data on our behalf. We may also disclose personal information where permitted by law or where we are under a duty (including for crime and fraud prevention).
When you visit our site we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our site.
Use of Cookies
Our website uses cookies to distinguish you from other users of our site. This helps us to provide you with a good experience when you browse our website and also allows us to improve our site.
We use Cookies to help identify your computer so that we can tailor your user experience, track shopping basket contents and remember where you are in the order process. You can disable cookies already stored on your computer, but these may stop our website from functioning properly. We also use Cookies to track the pages you visit via Google Analytics and to allow you to share pages with social networks such as Facebook. However, this website will not share any personal information with third parties.
